Files & Storage Overview
File storage lets you attach receipts, contracts, signed quotes, and photos to your customers so you keep a complete paper trail for every business relationship. Files are stored securely and counted against your plan's storage quota.
Every file you upload is tied to a customer. You can attach files to a customer note (for example, a signed quote alongside a comment) or upload them on their own as standalone files. Both appear together on the customer's activity timeline, and all files across your company are listed in one place on the Files page.

Uploading & Managing Files
Files are uploaded from a customer's detail page, in the Activity section. You can either attach files to a note or upload them as standalone files on the customer's timeline.
Attaching files to a note: 1. Open a customer and find the Activity section 2. Click "Add note" 3. Write your note (optional) and click "Attach" to pick files, or drag files onto the area 4. Click "Add note" to save the note together with its attachments
Uploading standalone files: 1. Open a customer's Activity section 2. Drag files directly onto the timeline (without opening the note form) 3. The files are uploaded and appear as their own timeline entries
Allowed file types: - PDF documents - Images (JPEG, PNG, GIF, WebP) - Word documents (.doc, .docx) - Excel spreadsheets (.xls, .xlsx) - CSV and plain text files
The Files page (open it via the "View all files" link in the storage section of Settings → Billing) lists every file across your company, newest first. From here you can: - Search files by name - Download a file (opens a secure, time-limited link) - Delete a file (with a confirmation dialog) - See which customer each file belongs to, or whether it is a standalone file
Deleting a file removes it from both storage and the file list, and immediately frees up that space against your quota.

Open a customer
Go to Customers and open the customer you want to attach files to.

Add files
In the Activity section, click "Add note" then "Attach", or drag files straight onto the timeline.

Save
Save the note with its attachments, or let standalone files upload on drop.

Manage later
Use the Files page to search, download, or delete any file across your company.
- Each individual file can be up to 20 MB
- Drag and drop multiple files at once — they all upload together
- Files attached to a note are deleted automatically if you delete that note
- Downloads open through a secure, time-limited link rather than a permanent public URL
- Deleting a file is permanent and cannot be undone
- Files larger than 20 MB or of an unsupported type are rejected before upload
Storage Quota & Limits
Each plan includes a fixed amount of file storage. The total size of all your uploaded files counts toward this quota.
Storage by plan:
Starter: 100 MB total file storage Pro: 5 GB total file storage Lifetime: 10 GB total file storage
The Files page shows a usage bar with how much storage you have used out of your total. The indicator turns amber when you pass 75% and red when you pass 90%, so you get a clear warning before you run out of space.
Per-file limit: Regardless of plan, each individual file can be up to 20 MB. The quota above is the combined total across all your files.
Freeing up space: Delete files you no longer need from the Files page or a customer's timeline. Space is reclaimed immediately, so you can keep uploading without changing plans.

What happens when I hit my storage limit?
Uploads that would push you over your quota are blocked. The app warns you before uploading, and the limit is also enforced directly in the database as a hard block, so over-quota files are never stored. Delete files to free up space or upgrade to a plan with a larger quota.
Does deleting a file free up space right away?
Yes. Removing a file from the Files page or a customer timeline reclaims that space against your quota immediately, so you can upload again without delay.
Is there a limit on a single file size?
Each individual file can be up to 20 MB. Your plan quota (100 MB, 5 GB, or 10 GB) is the combined total across all files.
- When your storage is full, new uploads are blocked until you delete files or upgrade your plan
- The over-quota block is enforced at the database level, so it cannot be bypassed — even an upload that slips past the in-app check is rejected and rolled back
Attaching Files to Customers
Files in Invotify are always linked to a customer — there is no separate file attachment on invoices or quotes. Instead, you keep a customer's supporting documents (signed quotes, contracts, receipts, photos) on that customer's record, where they stay alongside the related notes and history.
Two ways files attach to a customer:
Attached to a note: When you add a note in a customer's Activity section, you can attach one or more files to it. The files show as chips beneath the note text, so the document and its context live together.
Standalone files: You can also drop files directly onto a customer's timeline without writing a note. These appear as their own entries, dated like any other activity.
Where to find a customer's files: - On the customer's detail page, in the Activity timeline (notes with attachments + standalone files) - On the Files page, where the customer's name is shown next to each of their files
Permissions: Anyone on your team with permission to manage customers can delete files. This keeps customer documents under the same access control as the rest of the customer record.
- Attach a signed quote or contract to a note so the document and the conversation stay together
- Use the customer name column on the Files page to quickly see which customer a file belongs to
- Standalone uploads are great for quick drops like a scanned receipt with no comment needed
- Files cannot be attached directly to an invoice or quote — attach them to the related customer instead
- Deleting a note also deletes any files attached to that note
