Notification System Overview

Invotify includes a smart notification system that keeps you informed about important events in your invoicing workflow. Notifications help you stay on top of overdue invoices, expiring quotes, low stock, and incoming payments.

Delivery: Notifications appear in-app under the bell icon in the dashboard header, with an unread badge count. Per-event channel preferences live in Settings (see Notification Preferences below).

How Notifications Work: - Notifications are generated automatically by monitoring your invoices, quotes, and products - The system checks for new notification-worthy events as you work and when payments arrive - Each notification has a priority level: high, medium, or low - Low-stock notifications require a Pro or Lifetime plan with stock tracking; overdue, payment, and quote-expiry notifications are available on all plans

Accessing Notifications: - Click the bell icon in the dashboard header to view all notifications - Unread notifications are highlighted - Click any notification to navigate to the related document - Mark individual notifications as read, or mark all as read - Dismiss notifications you no longer need

Notification Types

Notifications are organized by priority level to help you focus on what needs immediate attention.

High Priority (Action Required): These require your immediate attention and are displayed prominently.

Medium Priority (Warnings/Reminders): These are time-sensitive reminders that you should address soon.

Low Priority (Informational): These are positive updates or general information about your account activity.

Overdue Invoice

HIGH PRIORITY - An invoice has passed its due date without payment. Follow up with the customer immediately. (All plans)

Out of Stock

HIGH PRIORITY - A product has reached zero stock. Reorder or disable the product. (Pro/Lifetime — requires stock tracking)

Invoice Due Soon

MEDIUM PRIORITY - An invoice is due within the next 3 days. Send a payment reminder.

Quote Expiring Soon

MEDIUM PRIORITY - A quote expires within the next 3 days. Follow up with the client.

Low Stock

MEDIUM PRIORITY - A product's stock has fallen to or below the configured low-stock threshold. (Pro/Lifetime)

Quote Expired

MEDIUM PRIORITY - A quote has passed its expiry date without a customer response.

Payment Received

LOW PRIORITY - A customer has paid an invoice (recorded manually or via an online payment). The invoice is marked as paid. (All plans)

Managing Notifications

Invotify provides several tools for managing your notifications efficiently.

Viewing Notifications: - Click the bell icon in the dashboard header to open the notification panel - The unread count badge shows how many new notifications you have - Notifications are sorted by priority (high first) and then by date

Actions: - Mark as Read - Click on a notification to mark it as read and navigate to the related document - Mark All as Read - Clear the unread count by marking all notifications as read at once - Dismiss - Remove individual notifications from your list

Notification Links: Each notification includes a direct link to the related page: - Overdue invoice → Opens the invoice details page - Quote expiring → Opens the quote details page - Low stock / out of stock → Opens the Products page - Payment received → Opens the paid invoice

Feature Integration: - Stock-related notifications only appear when Stock Tracking is enabled - Quote-related notifications only appear when Quotes are enabled - Notifications respect your feature toggles in Settings → Features

Tips
  • Check notifications at the start of each workday to catch overdue invoices
  • Use high-priority notifications as action items for your day
  • Click any notification to jump directly to the relevant document
  • Mark all as read after reviewing to keep your notification list clean

Notification Preferences

You decide which notifications you receive. Preferences are per-user and per-company, so each team member tunes their own alerts.

Where to set them: Go to Settings → Notifications. Each event has its own toggles, so you can switch off the alerts you don't need.

Configurable events: - Overdue invoice — all plans - Payment received — all plans - Quote expiry — all plans - Low stock — Pro/Lifetime (requires stock tracking)

By default, every event is on. Pro-only events can only be enabled on a Pro or Lifetime plan — on Starter those toggles are locked (the underlying events can't fire on Starter anyway, since they depend on Pro features).

Customer email opt-out: The document emails your customers receive (invoices and quotes you send) and payment reminder emails include an unsubscribe link, so recipients can opt out of each category independently. Opted-out reminders are skipped silently — the invoice is never stamped as reminded for an email that didn't go out. This keeps Invotify compliant with anti-spam regulations.

Tips
  • Turn off events you don't act on to keep the notification list focused
  • Each team member controls their own notification preferences
  • Customers can opt out of document or reminder emails via the unsubscribe link in every email
